The Clubhouse
The Clubhouse (www.clubhouse.co.uk) is an exciting new venue in the heart of Edinburgh. Offering over 50 of the world’s best golf courses on six state-of-the-art golf simulators, the Clubhouse is the perfect place to entertain clients or simply relax and play a round with friends.
The Clubhouse also features a full bar and restaurant, which offers tempting good quality bar meals and a range of light bite menus throughout the day. Food and drinks served directly to a table or a simulator and include quality wines, spirits and beers. A full lunch menu is also available and includes a range of platters for golfers to enjoy before, during or after their round.

The Challenge
As a new business, The Clubhouse needed an EPOS solution which would ensure they were up to date with the latest technology, and also needed to be integrated with their chosen accounting package, Sage Line 50.
One of the main factors The Clubhouse were looking for in an EPOS Solution was the ability to cater for their restaurant, including the ability to manage tables, take bookings, and most importantly be able to transfer bills from the bar, through to the restaurant and then on to the simulator.
Another requirement was that the new tills were in-keeping with the look and feel of The Clubhouse; they needed to be modern, stylish and up market.
The Solution
After looking at numerous EPOS solutions, The Clubhouse chose KCPOS and KC Hospitality. Following a series of consultations and requirements meetings, it was clear that KCPOS was the perfect fit solution for The Clubhouse and was tailored to meet their exact needs.
The Clubhouse have three tills implemented throughout the venue, one located in reception, one in the bar and the third in the golf simulator area. All three tills are connected together, and have a live link to the back office. This ensures that all three tills are always up to date with live sales and stock levels and gives them the capability to transfer bills from one till to another – just as discussed in their initial consultations.
The Clubhouse utilise KC Hospitality to manage their table bookings; the table manager within KC Hospitality has been tailored to match their floor layout, along with table and seating numbers. Tailoring a floor layout is done using simple drag and drop techniques and allows floor layouts to be designed in minutes.
Although The Clubhouse was originally looking for a system that could link with Sage Line 50, after selecting KCPOS they also decided to review their accounting package. They implemented KC Back Office Accounts as it is has full integration with KCPOS and is well-matched to their requirements, which included a requirement to manage stock in different units of measure and the ability to provide discounts to certain groups of customers.
Benefits
The Clubhouse’s stock is now easy to manage as KCPOS, along with KC Back Office Accounts, gave them the ability to set up their own units of measure conversion rates, eliminating the need to manually record and update their stock.
A huge benefit of KCPOS to The Clubhouse was its ease of use; all staff at the Clubhouse have needed very little training and find it extremely user friendly. The system has been very beneficial to them as it allows messages to be sent straight to the kitchen from a till, and KC Hospitality allows the staff to see at a glance the table layout screen and current status of each table, for example, whether free or occupied and how many people there are at each table.
KCPOS and KC Hospitality have been tailored to meet The Clubhouse’s exact needs and has given them the ability to perform all the tasks they needed to, in short it was the perfect fit, tailored EPOS solution for the The Clubhouse.

The Future
The Clubhouse’s future plans are to open additional branches throughout the UK, KCPOS is future proofed for this and caters for the need to add extra branches as and when they need to. All new tills implemented in additional braches will seamlessly integrate with the rest of the system and report back to the head office, as do their existing tills.
